When you’re thinking about care at home for someone you love, it’s natural to feel a bit overwhelmed. With so many options and details to consider, where do you even begin? Never fear; our expert care team is here to help! We’ve created this caregiver checklist to serve as your guide, equipping you with the questions to ask and helping you feel confident in your decisions. Feel free to customize the questions as needed to make sure you’re getting all of the information you need to find quality senior care.

Services and Business Practices

The first step is understanding the agency’s services and operations. These questions will help you determine if the agency is the right fit:

  • How long has the agency been in business?
    Experience matters. An established agency may have stronger systems and processes in place to deliver high-quality care.
  • Can we meet the caregiver in advance?
    A strong rapport with the caregiver is essential. Being able to interview them before care begins ensures a good fit.
  • Are caregivers employees or contractors?
    If caregivers are employees, it releases you from the responsibility of serving as the employer – meaning all taxes, worker’s compensation, and other details are taken care of.
  • How flexible are the care options?
    Ask about minimum hours per shift, the ability to split shifts (e.g., morning and evening visits), and how soon services can begin.
  • Is the agency licensed and insured?
    Verify that the agency meets state requirements and provides adequate liability coverage, especially if transportation services are involved.

Service Quality

Next, evaluate how the agency ensures the quality of its services. Clear communication and oversight are key factors:

  • Are caregivers supervised, and by whom?
    Knowing that workers are overseen by professionals provides reassurance that care standards are being met.
  • Is there a written care plan?
    A written plan of care ensures everyone is on the same page.
  • How are problems or complaints resolved?
    The agency should have a transparent process for addressing issues quickly and effectively.
  • Are services available 24/7?
    Emergencies don’t follow a schedule, so it’s important to know if care can be provided around the clock or on short notice.

Caregiver Qualifications

Your family member’s safety and well-being depend on the caregiver’s skills and training. Be thorough in asking about qualifications:

  • Are background checks conducted?
    This is a non-negotiable. Ensure that thorough screenings are part of the hiring process.
  • What training do caregivers receive?
    Caregivers should be trained in safe lifting practices, CPR/first aid, and handling specific needs such as memory loss or bathing assistance—all while preserving an older adult’s dignity.
  • Can the agency provide references or client satisfaction surveys?
    Hearing from others who have used the agency’s services can give you valuable insight into what to expect.

Financing and Payment

Understanding costs and payment options upfront helps you avoid surprises later. Be sure to cover the following:

  • What are the hourly or daily rates?
    Get clear on the base costs and any potential additional fees.
  • Are there extra charges for travel time or specific services?
    Find out if any services come with additional fees.
  • Does the agency handle taxes for its employees?
    If taxes aren’t covered, you will be responsible for this.
  • What payment methods are accepted?
    Most non-medical care is paid for out of pocket, but check to see if long-term care, veterans’ benefits, or other options are available.
